Tips and Tricks

Auto-email PDF Files from your Plot Station

As you configure new queues in Plot Station, you may see some options but not have an idea as to why they are there or how to use them. If you select the Job Actions tab, you'll see that there are a couple fields having to do with Run Before Job and Run After Job. These options provide an opportunity to start thinking "outside the box" with your Plot Station installation. These options allow you to customize Plot Station to take some special action that you or your company needs to have done. New ways to use after job actions have come up lately as more and more customers have come to use the PDF output driver for archiving or distribution.

One such case involved a large installation with hundreds of users. They were using the PDF output driver to create files to distribute to their customers. It grew cumbersome to have a single output directory on the file server and then have to go search for their file. There are a couple ways to use an after job task to make this process more manageable:

  • Option one is to create a subdirectory on the network share corresponding to each user. After processing, the Plot Station after job process can move the resultant PDF to the specific directory based on the username of the requester. Because of the sheer numbers of users, this option was not selected by the customer, but it may be appropriate for a site with fewer users.
  • The option that was selected was to utilize a command-line driven email tool. This allowed the after job task to take the resultant PDF file and email it to the requester. That way there was no special management by the Plot Station administrator to make sure there were folders for all the users and that they cleaned up after themselves. The file was created, emailed to the requestor and deleted from the server.

How do you use after job processes? If you are willing to share your ideas and we include it in an upcoming newsletter, we'll send you an eQuorum coffee mug.

For more information on how to perform either of these operations using an after job process, just send an email.
