eQuorum Offers Major ImageSite Document Management Release 8.0
ATLANTA, GEORGIA -October 15, 2010-Quorum Corporation today announced the availability of ImageSite® Version 8.0, a major update to its Web-based document management software solution.
ImageSite® is a comprehensive yet affordable document management system for business documents and engineering content. ImageSite provides a secure environment to organize, store, version control, and distribute important company information. ImageSite is web-based solution that's licensed like traditional software. This means that ImageSite is installed on a computer server at your office, ensuring that your corporate information remains yours. Users access all the features of ImageSite with nothing more than a web browser like Internet Explorer or Firefox.
ImageSite extends traditional document management models with electronic distribution features that drive users through lightweight email links to documents that you intend others to see. This eliminates the confusion that can result from the email distribution of files. By sending email links to stored documents, important data is always protected, and users are always presented with the most recent version of distributed material.
New features in ImageSite 8.0 include:
- New ImageSite (Windows) Client
- A new ImageSite (Windows) Client that provides traditional "Thick Client" functionality to ImageSite web server is now available for installation on user's local PCs. This type of functionality has until recently been available only with traditional Client-Servers software, but is now available in ImageSite, a web-based solution through Web 2.0 networking technologies.
- ImageSite Explorer (ISE), one component of the ImageSite Client, allows users to interact with documents in the ImageSite web server directly from Windows Explorer. The ImageSite Web server displays in the Windows Explorer much like a local drive or a mapped network drive, even though the ImageSite server is not on the user's local network. Access is provided through HTTP (or HTTPS) protocols based on the ImageSite server network settings and individual user security settings. The ImageSite Explorer menus are entirely contained within the standard Microsoft Windows interface as right-click context menus and as informationalicon overlay displays. Users can drill down (explore) from the ImageSite Server into ImageSite Projects (Cabinets) and into ImageSite folders until they see ImageSite documents. Document icons present visual status information representing check out status and availability of document on the user's local computer. Right clicking on documents provides users with context sensitive menus (that change based on the documents status), allowing the user to perform tasks such as check-out, check-in, download and open local copy of the file.
- By selecting the Windows "Details" view, files on the ImageSite server are displayed with all selected document metadata, which can be conveniently sorted by clicking on column headings.
- ImageSite Word Add-in
- An ImageSite Word Add-in provides many of the same direct ImageSite capabilities from within Microsoft Word. Additional Add-ins for other commonly used applications such as Microsoft Excel and AutoCAD will be provided in coming releases. These Add-ins will allow users to view, check-in, and check-outdocuments directly from the application menu without having to log into ImageSite separately via a web browser.
- When documents are Checked-out and/or Downloaded from the ImageSite server, they are transferred from the ImageSite server to the user's "Local Workspace," whose path is defined in the ImageSite as part of the ImageSite Project setup. As users browse for documents in a Windows view of the ImageSite server, ImageSite Explorer knows the status of documents both on the server and in the user's local workspace. Context menus are automatically presented to users (by right clicking) on documents. These menus provide the appropriate commands for each document based on its Checked-out status on the server and its availability on the user's local workspace as depicted by an overlay icon. Following are a few examples of these common events.
- No Overlay Icon
- A document on the ImageSite server is not checked out (by anyone) and does not exist on the user'slocal workspace (no overlay icon).
- User is given the opportunity to check out the document and to download the document.
- Red Star Icon
- A document exists on the user's local workspace (red star).
- User is given the opportunity to open the local file or to check-in the local file to the ImageSite server.
- Red Check Icon
- A document on the ImageSite server is currently checked out by another person (red check).
- User is given the opportunity to download the document. The check out command becomes unavailable since the document is already checked out by another user.
- Blue Check & Red Star Icon
- A document on the ImageSite server is currently checked out by the user (blue check), and a localcopy exists (red star).
- User is given the opportunity to replace or check-in the local copy.
- User Interface improvements give ImageSite a cleaner and more modern look. In some places, you'll see icons instead of labeled buttons (see below). If you aren't sure what an icon does, just mouse over the icon to see explanatory text. Gradient button colors and highlights make user selections clearer.
- ImageSite Enhanced Markup UI is now configured as the default ImageSite "Standard" markup toolset, and the older "Classic" markup
interface is disabled. The new markup UI is a completely new unified interface for enhanced markup creation, viewing, and management. Administrators can
organize markups by category and assign a standardized name to each category. Standardized text can be configured for use within each category.
- Set Upload
Set Upload makes it very easy to upload collections of documents (any number) to a common ImageSite folder with metadata automatically assigned. The ImageSite folder that the set is uploaded to and the document metadata (attribute values) are both determined based on user specified field choices. Specified values set both document metadata and folder path with minimal clicks.
- Access Security Enhancements
- Security Enhancements provide increased flexibility and granularity of security control over ImageSite folders and individual documents.Prior to ImageSite 8, access security could be assigned only at the folder level with four security levels (full control, view, annotate, download). ImageSite's new security profiles extend to individual documents, with selective control over ImageSite custom field values (metadata). The expanded list of permissions includes:
- Full Control (all items below)
- View
- Delete
- Create subfolder
- Create new document
- Download
- Annotate
- Check in/out
- Modify all custom fields
- Modify selected fields
Metadata Propagation
Metadata Propagation allows ImageSite to automatically assign document metadata (sometimes called custom fields, index values, or document attributes) to documents based on which folders that they are uploaded into.This powerful new ImageSite feature allows custom field values to propagate from parent folders to child folders and child documents. Administrative users establish propagation rules that determine which customs field are to be propagated,
and how they are applied (inherited or not, overwriting all fields or only empty fields). Propagation rules can be specific to a project or globally available to all projects, can be associated with one or more fields, and can be applied to documents, folders, or both. When you are modifying folder options in a project, a rule is applied when you set values for fields that are associated with the rule. How can this new feature be used in production? As new documents are uploaded to your ImageSite system, they will be automatically indexed (assigned metadata) based on the folders that they are uploaded into.
Non-Printable Document Type Controls
Non-Printable Document Type Controls (for ImageSite Outbasket). This new ImageSite enhancement provides improved functionality when a mix of printable and non-printable document types is collected into the Outbasket for printing. The document types that are printable will print, while document types that are not printable will be handled separately. Non-printable document types can be configured to be downloadable by the user for local printing, or to be automatically submitted to an attended print room function, where operators with the appropriate software can download and print the files for the submitting users.
ImageSite can store any type of electronic file. Common document file types for business or engineering use (Tiff, Microsoft Word, Adobe PDF, and Autodesk AutoCAD) are automatically recognized by ImageSite so that they are directly viewable in ImageSite and printable through the ImageSite Outbasket. ImageSite can also store and manage documents that are not viewable or printable by ImageSite. These file types can be configured to "View Native" so that the appropriate native viewer is be launched when these files are selected in ImageSite.
- Direct printing of Non-printable document types are split from a print set and a "Download" option is provided.
- Attended Print Option of Non-printable document types are split from a print set and submitted to the print room automatically.
- Show Version Changes
The Show Version Changes feature allows users to visually compare two versions of CAD files displayed in the ImageSite viewer. This is a convenient wayfor users to see what changes were made from one version of a CAD file to another (AutoCAD and MicroStation). The CAD Compare feature shows a comparison of the vector components of the currently displayed version and the prior version of the document.
- Unchanged graphics are displayed in Blue
- New graphics/test is displayed in Green
- Deleted graphics/text is displayed in Red.
The comparison version is displayed in a separate window. The comparison is only for the vector data portion of the images. No raster is compared, although the current version's raster is displayed for reference.
- Search Favorites
Saved Search Favorites further extends the power of the ImageSite search capability by allowing individual users to create personal saved searches (Search Favorites) and by allowing administrators to pre-configure searches that general users can conveniently utilize. If an ImageSite administrator enables Search Profiles for a user's UI profile, the user can save time by saving frequently performed search queries as Favorites. Then, each time the user needs to find a certain set of documents, a single click on the appropriate Favorite query is all that is required, rather than entering the query values in the fields. Saving a query as a Favorite stores the query values; it does not store the query results.
- Miscellaneous Enhancements
- AutoCAD 2010 support is available with ImageSite Version 8.0. The initial release requires a customer license of AutoCAD 2010 to be installed on the ImageSite server. A future minor release of ImageSite will include an OEM version of AutoCAD delivered with ImageSite.
- Display of both page dimensions and size has been provided for Send Snapshot functionality for users selecting the page size (e.g., A - 8.5x11in, B -11x17in). Users do not need to know the ANSI/ISO series names and sizes to pick the correct paper size for printing.
- ImageSite Rendering Controls provide settings to 'Enable client-side rendering on local machine'. You might want to turn this control ON if you prefer not to wait for possibly time-consuming rendering, or OFF if the native document application is not installed on your client computer. Microstation
filesare always rendered on the client side.Site administrators can set the ClientRenderPref system default control to ON or OFF.
- The Limit Download Reference Nest Depth capability allows administrators to set a limit on how many reference files are included during file download and checkout processes. For MicroStation files, the setting also affects the depth for client-side rendering, since client rendering can create enormous downloads for client processing and consume lots of disk space on the server during operation.
- Increased Search Speed is provided along with error logging of CSV searches by setting the new csvsearchbackrevs system default control which can limit searches to current document versions only.
